Notes from Zoom video conference meeting  Sept 30, 2022 -  10am to 11am

Oversight of the group

We will continue working as an informal group pending any changes decided by the Meeting.  Ultimately, we suggest that a standing committee such as Communications or Worship and Ministry be given oversight responsibility and appoint one or more ex-oficio members of the group.  We shall forward this proposal to this month's business meeting and consult with Nominating.

On an ongoing basis we should consult with committees who are "customers" of our services such as  Worship/Ministry and ARE.

Our mission, for now at least, is to support the technical services needed to conduct meeting for worship including  Zoom conferencing and the audio system.

Roles:

We agreed to identify maintain three seperate roles:

  1. Zoom managers, responsible for the managing the Zoom account and scheduling meetings.
  2. Zoom hosts, responsibile for starting and monitoring the zoom meeting.
  3. Audio assistants: responsible for setup, monitoring and trouble-shooting the audio  system.

These are described in more detail in the procedures manuals for each role.

Security:

We agreed that the sign-in credentials for the Zoom account should be held by the Zoom Managers only.  The host key shall be provided to "non-manager" zoom hosts as needed.  Zoom credentials will not be printed in any of the procedures manuals.  However the passwords for the WIFI system and the audio system PC will be available in the audio procedures manual.

Task Rotation:

We agreed to meet monthly, 4th Friday at 10am and finalize the schedule for the upcoming month.  We may take volunteers for a month or so in advance.  The schedule for October is:
